Automatically sign and seal PDFs from a hot folder
Your business system saves an invoice or report to a folder, and seconds later it is signed, sealed and ready to send. No opening, no clicking.
This product is not on sale or available for download yet. We are checking whether businesses need it, and its scope may still change.
Unattended signing
Invoices, test results and reports are created continuously by business systems. Instead of signing batches once a day, the program signs each one as soon as it appears in the folder. An electronic company seal suits unattended signing because it needs no PIN for every document.
What the action should do
- PAdES signature or seal with an RFC 3161 timestamp
- Certificate from the Windows store or a PFX file
- Optional visible signature at a chosen place on the page
- Verify the signature after signing
- Signed PDFs to an output folder, failed ones with an error to an error folder
- Chain with PDF/A conversion before signing and e-mail after it
Examples
- Seal invoices from the accounting system before sending them to customers
- Sign laboratory or measurement reports as soon as they are created
- Seal confirmations and decisions before publishing them
How the program will work
- Runs in the background as a Windows service, even when nobody is signed in
- For each folder you set a file mask, such as *.pdf, and the actions to run
- Actions can be chained, for example convert to PDF/A, sign and send by e-mail
- Processed files are moved to an archive, failed ones are set aside with an error description
- Files are processed on your computer or network and are not uploaded anywhere unless that is the action’s purpose
Frequently asked questions
How is this different from bulk signing?
Bulk signing is started by hand for a whole batch. This action runs in the background all the time and signs each file as soon as it arrives in the folder.
Can it sign without entering a PIN?
That depends on the certificate. Unattended signing works with a certificate in the Windows store or a PFX file, or with a seal on a device that allows it. Tokens that require a PIN for every signature are not suitable.
Are documents uploaded to a server?
No. Documents are signed on your computer. For a timestamp, only the document’s hash is sent to the authority.
