Automatically email files from a folder
An invoice, scan or report is saved to a folder and goes straight out by e-mail to your accountant, a customer or an archive.
This product is not on sale or available for download yet. We are checking whether businesses need it, and its scope may still change.
Where the time goes
Writing an e-mail, attaching a file and sending it takes a moment, but with dozens of documents a month it adds up and things get forgotten. The action sends every file on its own and logs each delivery.
What the action should do
- Send through SMTP with TLS: Microsoft 365, Gmail or your own server
- Recipients, CC and subject with variables, such as Invoice {name}
- One file per e-mail or several at once, optionally zipped
- Attachment size limit with a warning when exceeded
- Mail server password stored encrypted
- Log every delivery and retry on server errors
Examples
- Send scanned supplier invoices to the accounting firm
- Send daily reports from a program to management
- Send service reports to the customer as soon as they are saved
How the program will work
- Runs in the background as a Windows service, even when nobody is signed in
- For each folder you set a file mask, such as *.pdf, and the actions to run
- Actions can be chained, for example convert to PDF/A, sign and send by e-mail
- Processed files are moved to an archive, failed ones are set aside with an error description
- Files are processed on your computer or network and are not uploaded anywhere unless that is the action’s purpose
Frequently asked questions
Does it work with Microsoft 365 and Gmail?
Yes, through SMTP. For accounts that require modern sign-in (OAuth), we plan to support it directly in the program.
Where is the e-mail password stored?
Encrypted on the computer where the program runs (Windows DPAPI). It is never shown in the settings again.
Can files go to different recipients by name?
Yes, with several rules using different masks, for example files named “ABC_*.pdf” to company ABC.
