Automatically convert documents to PDF and PDF/A
Save a document to a folder, and a moment later a PDF or PDF/A sits next to it, ready to archive, send or sign.
This product is not on sale or available for download yet. We are checking whether businesses need it, and its scope may still change.
Why PDF/A
Long-term archiving and many public bodies require PDF/A, which embeds all fonts and does not depend on any particular program. Converting dozens of documents a day with “Save as” is not sustainable, and the result often fails the standard.
What the action should do
- Convert DOCX, XLSX, ODT, JPG, PNG and TIFF to PDF
- Convert existing PDFs to PDF/A-1b, 2b or 3b
- Merge a multi-page TIFF scan into a single PDF
- Check the result against the PDF/A standard and log errors
- Save next to the original or to another folder, keep or move the original
- Chain with other actions, such as PDF signing or e-mail
Examples
- Documents for archiving in a municipality or organisation
- Contracts and attachments before electronic signing
- Scanner output converted into one tidy PDF
How the program will work
- Runs in the background as a Windows service, even when nobody is signed in
- For each folder you set a file mask, such as *.pdf, and the actions to run
- Actions can be chained, for example convert to PDF/A, sign and send by e-mail
- Processed files are moved to an archive, failed ones are set aside with an error description
- Files are processed on your computer or network and are not uploaded anywhere unless that is the action’s purpose
Frequently asked questions
Do I need Microsoft Office installed?
Probably yes for Word and Excel files, or the free LibreOffice. Images and PDFs convert without other software. We are still confirming the exact approach.
Will it add text recognition (OCR)?
OCR for scans is a possible extension. Let us know in the note if you need it.
Are documents uploaded anywhere for conversion?
No. Conversion runs on the computer where the program is installed.
