Automatically sort and rename files into folders
Files like “scan0001.pdf” and “IMG_4711.jpg” get meaningful names and land in the right subfolders on their own.
This product is not on sale or available for download yet. We are checking whether businesses need it, and its scope may still change.
Why automate it
Bulk rename tools have to be started and configured by hand every time. For files that arrive every day, it is easier to set a rule once and let the program work in the background.
What the action should do
- New name from a pattern, such as {date:yyyy-MM-dd}_{name}_{counter:000}
- Sort into subfolders by extension, creation date or text in the name
- Replace accented and invalid characters in names
- Use the photo date from EXIF instead of the file date
- Add a number when a name already exists, never overwrite
- Log the old and new name of every file
Examples
- Rename scans by date and store them in monthly folders
- Sort supplier invoices by text in the file name
- Store camera photos in folders by the day they were taken
How the program will work
- Runs in the background as a Windows service, even when nobody is signed in
- For each folder you set a file mask, such as *.pdf, and the actions to run
- Actions can be chained, for example convert to PDF/A, sign and send by e-mail
- Processed files are moved to an archive, failed ones are set aside with an error description
- Files are processed on your computer or network and are not uploaded anywhere unless that is the action’s purpose
Frequently asked questions
Will this action be free?
Yes. We plan renaming and sorting as part of the free basic edition.
Can it sort by file content?
The first version sorts by name, type and date. Sorting by content, such as an invoice number inside a PDF, is a possible extension.
Can I try a rule safely?
Yes. The program is planned with a test mode that only shows how files would be renamed and changes nothing.
